How to Export Systeme.io Contacts to CSV in 2026
Filter and select the contacts you actually need, request the CSV export and download the emailed file before its three-day availability window expires. Verify sample records before using it for migration or backup.

Filter the contact list before exporting more data than you actually need
Decide whether the goal is a complete backup, a targeted analysis or a migration of one segment. A focused export is easier to inspect and safer to move between systems than a full contact database copied by default.
Use the CRM contact list and available filters to isolate the records relevant to the task. If the export will be used elsewhere, note which tags, campaigns or segmentation rules must also be recreated because they may not be represented by the same structure in another platform.
Select the contacts and start the export from the bulk actions menu
In CRM and Contacts, select the contacts you want to recover, open More actions and choose Export. Check the selected count before confirming so the resulting file matches the intended audience rather than an accidental partial or full list.
For migrations, record what the destination system expects before exporting. Field names, delimiters and custom data may need mapping later, so knowing the target format reduces cleanup after the CSV is generated.
Systeme.io generates the CSV and sends the download link by email
The export is prepared by Systeme.io and a message containing the download link is sent to the email address associated with the account. The file may therefore not appear as an immediate browser download when you click Export.
For a large selection, allow the export process to finish and check the account mailbox, including secondary folders if necessary. Keep access to that mailbox under the same security standard as the CRM because the exported file contains contact data.
Download the generated file within the documented three-day window
Systeme.io currently states that an exported contact file is available for download for only three days. After that period it is deleted and a new export request is required.
Download the CSV promptly and store it in an appropriate protected location. Contact lists can contain personal data, so an export should not be left indefinitely in an open shared folder simply because it is convenient for migration work.
Inspect columns and sample records before treating the export as complete
Open the CSV in a spreadsheet and review the headers, character encoding, approximate row count and several contacts you already know. This catches missing fields or malformed characters before the file becomes part of a backup or import process.
If the file will be imported into another tool, run a small sample first. Testing a subset makes delimiter, mapping and field problems much easier to reverse than discovering them after an entire database has been imported incorrectly.
Treat a CSV as contact data backup, not a full account restoration package
A contact export is useful for backup, analysis and migration, but it does not automatically reproduce every campaign, workflow, automation state or page configuration in the account. Those systems need their own documentation or migration plan.
Systeme.io can also export stored UTM fields for selected contacts, which is useful when acquisition data matters to the analysis. Decide which contact attributes need to survive the move before requesting the final production export.
Check these four signals.
✓The intended contact segment is selected
✓The exported row count and fields are checked
✓The CSV is downloaded and protected before the link expires
✓Migration testing uses a small sample before full import
